How do I get started?

After creating an account, Lynna walks you through a short setup wizard covering your basics (business name and timezone), your first service, working hours, and booking policies. Once complete, your public booking page is live and ready to share with customers.

What is the booking page?

Your booking page is a public URL where customers can browse your services and request an appointment. You can customise the headline and description from Settings → Booking page, and turn it on or off at any time.

Can I change my workspace name, timezone, or booking URL after setup?

Yes. Go to Settings → Workspace and click Edit details. You can update your business name, timezone, phone number, and booking URL slug at any time. If you change your slug, the old URL stops working immediately so update any links you have shared. Changes take effect as soon as you save.

Can I have multiple team members on one workspace?

Yes. Invite team members from the Team page. Each member signs in with their own account and has access to the shared workspace. Owners can also update member roles from the same page.

How do I add a service?

Go to Services and click Add service. Give it a name, duration, and price. You can also add a description, set a location type, and require a deposit. Services appear on your booking page as soon as they are saved and active.

What pricing types are available?

You can set a service as fixed price, hourly, per unit, or variable. For per-unit pricing you can define the unit label (for example, per room or per kilogram). Variable pricing is for services where the final price is quoted after the job.

Can I require a deposit for a service?

Yes. When creating or editing a service, enable the deposit option and enter the deposit amount. You can also set a workspace-wide default deposit in your booking policies.

Can I deactivate a service without deleting it?

Yes. Use the status toggle on the service detail page to deactivate it. Deactivated services are hidden from your booking page but remain in the system. You can reactivate them at any time.

How do I set my working hours?

Go to Availability and set the days and hours you are open. You can enable or disable individual days and set different open and close times for each. These hours are used to calculate which slots are offered on your booking page.

What is buffer time?

Buffer time is a gap added after each appointment before the next one can be booked. For example, a 15-minute buffer after a 60-minute service means the next available slot starts 75 minutes after the previous booking begins. Use it for travel, cleanup, or prep time.

What is minimum notice?

Minimum notice prevents bookings from being made too close to the current time. For example, a 4-hour minimum notice means customers cannot book an appointment starting within the next 4 hours. You set this in hours on the Availability page.

How do I block a specific date or time off?

On the Availability page, use the Blocked dates section to add a date that should be unavailable. You can block the full day or a specific time range, and add an optional label for your own reference.

What is the slot interval setting?

Slot interval controls the spacing between available start times shown on your booking page. For example, a 30-minute interval means slots are offered at 9:00, 9:30, 10:00, and so on. Shorter intervals give customers more flexibility; longer ones keep your calendar cleaner.

Can I create a booking manually?

Yes. Go to Bookings and click New booking. Select the service, enter the customer's details and appointment time, and save. Manual bookings follow the same rules as customer-initiated ones and appear in the calendar view immediately.

What booking statuses are there?

Bookings can be pending, confirmed, completed, cancelled, or no-show. You can update the status from the booking detail page. Completed and no-show bookings are factored into rebooking prompts if that feature is enabled.

How do appointment reminders and booking emails work?

Lynna sends a confirmation email immediately when a booking is made, with a link customers can use to reschedule or cancel. Two automated reminders are also sent per booking at the intervals you configure on the Availability page (for example, 24 hours and 2 hours before). If a customer cancels or reschedules, they receive a follow-up confirmation email and you receive an alert.

Can I delete a booking?

Yes. Open the booking and scroll to the bottom of the detail page. This action is permanent.

Can customers cancel or reschedule their own booking?

Accepted Answer

Yes. Every confirmation email includes a manage link. From that page, customers can reschedule to a different slot or cancel entirely. A confirmation step is shown before a cancellation goes through. If you have set a cancellation window in your policies — for example 24 hours — customers cannot cancel or reschedule within that window and will see an explanation. When a customer cancels, the freed slot automatically notifies anyone on the waitlist for that date.

Where can I see all my bookings in a calendar layout?

Go to Calendar in the sidebar. You can view bookings in month, week, or day mode. Use the arrows to navigate and the view selector to switch modes. Clicking a booking opens its detail page. On mobile, the week view shows a 3-day window centred on the selected date.

How do I jump to a specific day from the month view?

Click any day cell in the month view to switch directly to the day view for that date.

Does the calendar sync with Google Calendar?

Google Calendar sync is an optional integration that is not enabled by default. The in-app calendar view shows all your bookings without needing any external calendar connection.

What is the cancellation policy setting?

You set a cancellation window in hours. For example, setting 24 hours means customers must cancel or reschedule at least 24 hours before their appointment. This window is enforced on the self-service manage page — customers within the window see the cancel and reschedule buttons disabled with an explanation. It is also surfaced during the initial booking flow and referenced by the AI assistant when answering cancellation questions.

How do I write a policy document?

The Policies page includes an AI draft tool. Answer a few questions about your business and preferred tone and Lynna generates a starting draft. You can edit it directly before saving. The policy is shown to customers on your booking page and referenced by the assistant.

Can I set a no-show fee?

Accepted Answer

Yes. In the Policies page you can enter a no-show fee amount and a short policy description explaining how it is applied. This is informational and tells customers what to expect, but does not automatically charge anyone.

How do I upgrade my plan?

Go to Settings → Billing and click Upgrade. You will be taken to the Stripe checkout page to complete the subscription. The new plan activates immediately after payment.

How do I manage or cancel my subscription?

Go to Settings → Billing and click Manage subscription. This opens the Stripe billing portal where you can update your payment method, view invoices, or cancel your subscription.

What happens to my data if I cancel?

Your workspace data remains accessible for the remainder of your paid period. After that, access is restricted but data is not immediately deleted. You can export your personal data at any time from Account settings.

How do I download my data?

Go to Account settings and click Download in the Your data section. This exports a JSON file containing your account details, organisation memberships, booking history, and active sessions.

How do I delete my account?

Go to Account settings and scroll to the Danger zone section. Type DELETE to confirm and submit. If you are the sole owner of any workspace, you must transfer ownership or delete the workspace before your account can be removed.

How long is my data retained?

Activity logs are kept for 90 days. Booking records are kept for 3 years from the appointment date. Authentication sessions expire after 7 days of inactivity. When a customer record is deleted, their contact details are removed but the booking record is retained in anonymised form.

How do I connect WhatsApp Business?

Go to Settings → Connections and click Connect under WhatsApp. You will need your Access Token, Phone Number ID, and optionally your App Secret and Verify Token from the Meta Developer Console. Once saved, Lynna registers the webhook and the assistant starts handling incoming messages.

Where do I find my Access Token and Phone Number ID?

In the Meta Developer Console, go to WhatsApp → API Setup. The Phone Number ID is listed below your number. For production use, create a permanent System User token in Meta Business Manager rather than using the temporary token shown on that page, which expires every 24 hours.

What is the Verify Token?

A string you choose yourself. You enter the same value in the Lynna connection form and in Meta's webhook configuration under WhatsApp → Configuration. Meta sends it once when you register the webhook URL to confirm you own the server.

How do I connect Telegram?

You have two options. The managed bot option provides a shared Lynna bot with no setup required: enable it and share the onboarding link with customers. Alternatively, create your own bot via @BotFather, copy the token, and paste it into the connection form. Lynna registers the webhook automatically.

Can I disconnect a messaging channel?

Yes. Go to Settings → Connections, open the connected channel, and click Disconnect. For custom Telegram bots the webhook is also removed from Telegram automatically.
